Role Summary:

The Coordinator of Events will primarily be responsible for coordinating the logistics of various outdoor events for the Fan Park @ ICE District and the ICE District Plaza alongside the Manager of Events - ICE District. This position will liaise with clients, internal departments, and external stakeholders, prepare and distribute event details and provide onsite support during event execution through to post-event reporting and financial settlement.

Your Focus in this Role:

  • Serve as the primary ICE District contact for assigned events
  • Collaborate with clients to manage event details and execution plans
  • Coordinate event logistics, including requesting quotes and securing services
  • Work with suppliers and preferred vendors to execute event plans.
  • Create, distribute and maintain event details and venue operational instructions, including event layouts, contact lists and activity details.
  • Prepare cost estimates and cost summaries for assigned events and distribute them to the appropriate stakeholders.
  • Lead event planning and information-sharing meetings to communicate and delegate event specifics to all stakeholders
  • Provide onsite event support and supervision for the duration of the event, from set-up and execution to tear-down.
  • Create and distribute required reports for assigned events
  • Ensure compliance with the City of Edmonton regulatory agencies as required
  • Provide supervision of the OEG Events Team
  • Support the OEG Events Team training program
  • Provide indirect supervision and support to operational staff from other departments working on assigned events.
  • Ensure adherence to OEG policies and procedures.
  • Assists Director, Event Operations & Director, Content & Programming (ICE District) with administrative duties and projects as assigned

Education, Experience, and Skills:

  • Minimum of 2 years experience in the events industry is required
  • An Event Management Certificate, Diploma or Degree/Diploma in event management would be considered an asset.
  • Passionate for delivering excellent experiences
  • Highly organized, with time-management skills
  • Resourceful and proven ability to handle multiple projects simultaneously
  • Proven ability to maintain and foster positive relationships internally and externally
  • Strong negotiation and influencing skills
  • Demonstrated flexibility and adaptability
  • Excellent communication skills - written and verbal
  • Motivated/self-starter who will seek out opportunities
  • Confident problem-solving and decision-making skills
  • Ability to show diplomacy and professionalism under pressure
  • Computer savvy - proficient in Microsoft Office and sharing folders.
  • Comfortable working on a project both in a team atmosphere and independently
  • Ability to meet deadlines on time and work under pressure
  • Ability to work weekends and evenings and, at times, untraditional hours of work
