POSITION SUMMARY

Reporting to the Manager, Medical Imaging, the Administrative Assistant provides support to the Director and Managers of the

Medical Imaging and Cardiology (MIC) Program. The Administrative Assistant will have a broad range of responsibilities, including completing projects and accreditation support. The Administrative Assistant will provide high-level administrative assistance to the leaders, working collaboratively with them to develop and execute plans and projects, organize documents and user materials, and support the collection, analysis and reporting of statistical data.

This position requires an in-depth knowledge of administrative procedures and tools as well as organizational and project coordination skills. The successful candidate will handle sensitive information with professionalism and integrity while communicating appropriately amongst team leaders.

This role requires flexibility, creativity and the desire to be part of a strong and supportive team. The Administrative Assistant supports, coordinates and organizes meetings as assigned, including the development and distribution of agendas and action summaries and technical support. The ability to multi-task, prioritize and meet deadlines is required. The Administrative Assistant balances multiple responsibilities and has effective critical thinking, problem solving and time management skills.

QUALIFICATIONS

Required:

  • Post-secondary education or experience in a business or related health discipline
  • Intermediate to advanced level computer skills including ability in Excel, Word, Power Point and Internet based applications, to be tested
  • Proficiency in online meeting platforms (Zoom, Microsoft Teams, WebEx, etc.)
  • Excellent written , verbal and proofreading skills
  • Experience with developing schedules and use of database software is an asset
  • Knowledge of committee process and procedures
  • Strong desire to work collaboratively as a team player and ability to work well independently
  • Excellent organizational, communication and interpersonal skills
  • Excellent critical thinking and problem solving skills
  • Ability to effectively maintain confidentiality
  • Ability to effectively handle multiple demands and complete assignments in an accurate and timely manner
  • Ability/willingness to travel to other sites as required
  • Recent satisfactory performance and attendance records

  • Ability/willingness to work flexible hours to accommodate early morning or evening meetings, and extended hours as required in order to meet project deadlines
  • Advocates and supports a culture of patient safety and demonstrates an understanding of how the department service and assigned responsibilities contribute to overall patient safety at GBHS through patient safety knowledge, skills and attitudes

Preferred

  • Successful completion of a post-secondary office administration program, and one to three years administrative/secretarial experience, preferably at a senior level
  • Experience working in a health care environment is an asset; preferred experience in Medical Imaging and/or Cardiology
