The Cancer Therapeutics Program at the OHRI is a dynamic research program of over 80 scientists and clinician investigators engaged in the development and investigation of novel biotherapeutics. The Program is seeking a full-time Research Administrative Assistant II (RAA), with experience in a health sciences research environment, as part of the growing multi-disciplinary team. The incumbent will work in the Cancer Centre at the General Campus of The Ottawa Hospital.

Duties and Responsibilities:

The RAA will provide administrative support to scientists in the Cancer Therapeutics Program. Responsibilities include tracking and preparing contracts for scientists' employees; assisting in the onboarding of new employees; scheduling and planning of travel and/or meetings; preparing documents and letters; communicating via email; providing administrative support for grant applications. The successful candidate will be able to work both independently and collaboratively with members of the program and will communicate with national and international collaborators on an as needed basis.

Specific tasks:

The RAA will be responsible for general administrative tasks in support of the scientists, including but not limited to the following:

  • Assist in completing and processing HR paperwork and orientation for new employees
  • Assist in tracking contract end dates & assuring paperwork is completed before em-ployees' end dates
  • Submit bi-weekly timesheets to OHRI Payroll for CTP Program students and staff
  • Record students and staff vacation and sick time on a yearly basis
  • Organize teleconferences and meetings across various research initiatives
  • Maintain the calendars of program scientists
  • Respond to meeting requests and emails on behalf of program scientists
  • Maintain updated CVs for scientists
  • Facilitate travel and accommodations for program scientists
  • Oversee processing of cheque requisitions, including invoices & travel reimbursements
  • Assist with contracts and purchase orders as required
  • Assistance with grants overseeing submissions and documentation
  • Assist with manuscript submissions
  • Assist in management of space issues including renovations and moves (as required)
  • Purchase and maintain inventory of office supplies
  • Purchase, maintain and coordinate hardware and software inventory
  • Facilities/Occupational Health and Safety requests
  • Assist with Fed Ex/Accuro requests
  • Liaise with technical specialists regarding photocopier, printer, fax (as required)
  • Cover for other RAAas required
  • Other duties as assigned

Basic Requirements:

  • Postsecondary degree or diploma in a related field
  • 5 years recent related administrative experience
  • Experience assisting with grant submissions
  • Excellent organizational, prioritization, and time-management skills required to coordinate multiple activities
  • Advanced ability with MS Office software: Outlook, Word, Excel
  • Proficient written communication, proofreading and editing skills required to draft or generate correspondence or documents
  • Excellent interpersonal and verbal communication skills
  • Ability to work independently with minimal supervision

  • Proven self-starter
  • Proven ability to work independently, take direction from various sources and prioritize workload
  • Demonstrated collegiality and professionalism; ability to work within a multidisciplinary team environment
  • Must have excellent organizational, communication (oral and written), and interpersonal skills
  • Detail-oriented

Preferred Qualification:

  • General knowledge of and familiarity with bookkeeping and generally accepted ac-counting principles
  • Experience planning and organizing meetings and events including workshops
  • Knowledge of both official languages is an asset

Contract Details:

This is a full time, three-year contract with the possibility of renewal.

Salary: Min: $27.964/hr. - Max: $32.936/hr.
