Currently, we are seeking a full-time Contracts & Marketing Coordinator to assist the Contracts Manager and Sales team with quotes, bids, data analysis & reporting, and contract & account management. This position will also oversee the management of social media platforms, marketing materials and website updates, as well as assist the QHSE team with maintaining customer pre-qualification registries.


Primary Duties & Responsibilities:

To demonstrate commitment to safety through a personal focus on safety and the integration of safety in every task.

Main point of contact for government funded abandonment programs including submission of applications, grant agreements and billing.

Assist with compilation of quotes, and preparation of proposal and tender responses.

Contract Administration including maintenance of Customer Account and Contract Management.

Facilitating the credit application process across the service lines in conjunction with finance.

Provide Management Activity reports as required.

Maintain 3rd party registry compliance for various internal departments (ISN, ComplyWorks, Avetta).

Maintain company website and manage social media platforms such as LinkedIn & Facebook.

Manage promotional marketing materials and update as required.

Coordinate events and exhibition attendance in North America.

Assist with KPI reporting and quarterly presentations for customers.

Develop and manage an efficient filing system both physical and electronic.

Manage and organize the HAES digital photo library.

Administrative work as required.

Required Qualifications:

Must be professional and well spoken with excellent communication skills; able to communicate at all levels within the organization

Must have 3-5 years administrative experience, working in a fast paced environment

Must have strong Microsoft Office Skills (Word, Excel, Outlook, PowerPoint, etc.)

Able to work in a team environment and independently

Willingness to help out other departments as needed

Strong attention to detail

Able to meet deadlines and prioritize the workload

Considered an Asset:

Post secondary qualifications in business, commerce, administration or sales/marketing

Knowledge of Contract Management

Knowledge of WordPress
