POSITION OVERVIEW

PROGRAMMING:

The main responsibilities of this position are the management and coordination of all JPL programming and events with the Executive Director and the JPL Program Committees. The candidate will strategize on the most effective ways to elaborate plans and implement them in a timely manner. The person will liaise with all guest speakers, artists and participants, and secure strong and sustainable partnerships with the agencies of the community, and beyond. The person is also responsible for all budgetary aspects, from planning, accounting follow-up to post-mortems data analysis. Data compilation and analysis are an integral part of this position.

SOCIAL MEDIA:

The candidate will identify, build and interact with targeted virtual communities and network users to promote JPL programs and services, building targeted “community of interests”, and a focus on building new audiences. The person will also create virtual programs and contents as needed (i.e., TikTok Book Clubs, …), build JPL loyalty as well as reinforce JPL brand and values. 

MAIN PROGRAMMING TASKS:

  • Collaborate with JPL staff, authors, artists, and partner cultural institutions to organize events.
  • Establish and maintain relationships with artists’ managers, publishers, and film distributors.
  • Provide stewardship and event updates/reports to major donors, where appropriate.
  • Draft, distribute and maintain contracts/letters of agreement.
  • Manage event budgets, from preliminary estimates to completed budgets for reporting.
  • Work with the Director of Development to allocate endowment funds to support appropriate programs.
  • Oversee event logistics including venue coordination, setup, vendors, recruit and manage event volunteers, and staffing.
  • Oversee travel logistics including booking flights, hotels, and car service when necessary.
  • Work with the marketing department to create marketing assets and timelines.
  • Complete post-event reports to evaluate program effectiveness (including post-event surveys).
  • Create and manage event listings on JLive.
  • Create donor reports after each event for the donor department to record and send acknowledgment/ report letters.
  • Create marketing reports with category and language to import to MailChimp.
  • Manage evening adult programming, including program selection, registration, materials sourcing, participant communication, and day of check-in.
  • Provide customer service in person and over the phone if needed, to those needing assistance with purchasing tickets or information about upcoming programs.
  • Coordinate various program committee meetings and activities (Main Program Committee, Yiddish Committee, Hebrew Committee, and any other committees, if need it be).
  • Take minutes at cultural committee meetings, when appropriate.
  • Process and maintain a record of all purchase orders related to events.
  • Manage the Writer-In-Residence program including scheduling, event selection, event logistics, and forwarding emails from the public.
  • Field program suggestions appropriately.
  • Organize logistics for the Annual General Meeting following the timeline and checklist.
  • Maintain event waitlists and reach out if/when programs become available.
  • Assist staff in the Norman Berman Youth Space to coordinate special youth events (ASL story time as part of the NDG grant, Calligram Creations, etc.).

MAIN SOCIAL MEDIA TASKS:

  • Develop and implement social media content for each JPL program and event throughout the year with all speakers and guest artists
  • Create, maintain, and grow new and existing social networks, including Twitter, LinkedIn, Pinterest, YouTube, FourSquare, Instagram, Google+, Facebook, and others
  • Create, develop and manage company blog and editorial calendar that aligns with JPL programs and events
  • Monitor social media progress using web analytic tools
  • Incorporate optimization strategies, analyze data, and research the best ways to increase traffic 
  • Review the success of campaigns and develop ways to improve 
  • Plan paid social media advertising strategies and budgets, in coordination with the Marketing, Communication and Lifelong Learning Director
  • Secure digital media partnerships 
  • Resolve customer issues through social media 
  • Create engaging written and visual content for blog 
  • Research new media platforms, trends, and industry opportunities 
  • Provide feedback from social media trends and research
  • Write effective, concise copy for multiple platforms, websites, and social networks 

And any other tasks given from time to time by the Executive Director.
