THE ROLE:

The Communications and Events Coordinator supports the overall communications strategy and execution based on the Foundation's mission to improve the well-being of Canadians. This is an exciting opportunity to help build a full communications program for one of Canada's largest philanthropic foundations. The Communications Coordinator will report to the Director of Communications while offering support to the executive director , program directors and operations team.

RESPONSIBILITIES :

General

  • Support director of communications in all Foundation outreach including events, publications, media relations, recognition and digital communications
  • Ensure brand and visual identity consistency with all internal and external materials
  • Offer communications support to program directors and operations team
  • Oversee planning and logistics for Foundation events

Internal communications:

  • Ensure consistency in internal communications
  • Design Powerpoint presentations as requested
  • Maintain updated brand resources and update staff as needed on brand guidelines

External communications:

  • Digital communications
  • Update web site
  • Execute social media strategy
  • Track outreach analytics

Recognition

  • Ensure compliance of Foundation recognition based on guidelines
  • Liaise with grantees for recognition needs and ensure appropriate recognition for all grants
  • Coordinate sign off on all signage and permanent Foundation logo/name use including director sign off when appropriate
  • Monitor Foundation recognition regularly and correct misuse or lack of recognition

Media Relations

  • Gather, share and archive all Foundation media coverage
  • Liaise with grantees to gather relevant program coverage
  • Monitor online activity about Foundation and programs
  • Coordinate sign off on media materials (press releases, briefs)
  • Proofread all materials

Annual Report & Foundation Materials

  • Support Director of Communications as needed
  • Get quotes and facilitate the hiring of report designer
  • Liaise with designers
  • Write copy as needed
  • Gather data and images from Program Directors
  • Proofread report before publication
  • Organize publication

Events

  • Coordinate information between various groups
  • Scout venues as needed
  • Create guest list and oversee RSVPs
  • Ensure invitations reach appropriate directors and guests
  • Create and update event brief
  • Organize logistics as needed
  • Act as point person on day of event

Qualification:

  • Excellent Powerpoint, Word, Excel and WordPress skills
  • Strong interpersonal and relationship management skills
  • Degree or diploma in Communications, Journalism or English
  • Highly organized with strong attention to detail
  • Experience in social media campaigns and analyses
  • Strong writing and editing skills
  • French oral and written skills an asset
  • Knowledge of Adobe creative programs an asset
