DESCRIPTION:

As a Junior Estimator/Administrative Assistant you will assist our Estimators/Project Managers in managing the full life cycle of a file from initial receipt of new claim to final payment and close out of the file. You will work closely both Estimators and office personnel in the handling of all aspects of a claim. The ideal candidate is highly organized with the ability to oversee multiple files at a time. DUTIES & RESPONSIBILITIES:The following is a list of the essential duties and responsibilities of this job. The tasks and the time spent performing each task may vary as business needs require. DUTIES:

  • Assist with scheduling all aspects of jobs including co-ordination with insureds, sub-trades and property managers
  • Prepare detailed scopes and estimates in Xactimate for insurance & non-insurance jobs following company protocols
  • Respond and follow up to emails in a timely fashion
  • Ensure all timelines are met and updated accordingly
  • Complete invoicing on files and ensure all sub-trade invoices are accounted for in the file
  • Attend job sites, when needed, to take measurements, sketch, take photos or to help with estimates
  • Understand and comply with insurance company guidelines and protocols
  • Assist with sending crews and sub-trades to respond immediately to emergency claims and co-ordinate with insureds
  • Responsible to ensure the correct forms are signed and received on files and follow up with insured's and contractors if needed
  • Ongoing monitoring of progress on jobs, and provide regular progress reporting to clients
  • Prepare and maintain timely and accurate documentation, reports and other materials
  • Track and review sub-trade quotes, estimates, changes and requests for payment
  • Follow up on outstanding receivables
  • Respondsnto all insured individuals/client inquiries, concerns or complaints and assist in resolving any issues as soon as possible

SLILLS AND ABILITIES:

  • Ability to work in a fast paced environment and is adaptable to change
  • Intermediate computer skills and the willingness to take courses as required
  • Excellent communication skills, both written and verbal

Educational RequirementsEducation Required: Post Secondary Diploma/Degree PreferredOther Education/Certification/Training preferred:

  • Training in Xactimate an asset
  • Restoration and/or construction knowledge and asset

Work Experience RequirementsWork experience required: Minimum three (3) years of work experience in an administrative role Job related experience required: 1 year of administrative experience at a Restoration Company is an asset Technical RequirementsEquipment: Office Equipment (copiers, scanners, printers, faxes, etc.)Software: Strong working knowledge of Microsoft computer software (e.g. Excel, Word, etc.), email, Xactimate, Xactanalysis Physical RequirementsThis position requires a low level of physical exertion. Moderate intensity of sensory effort is required.
