Position Summary:

Reporting to the Manager, Hospitality Services & Consumer Services, the Coordinator will develop and execute all aspects of event/conference plans including bid and proposals creation, initial planning, contract creation, set up and on-site support, and closing. The incumbent's primary responsibility is to plan event details for a variety of key internal and external events simultaneously while also assisting in the supervision of several CUPE staff members and a small team of student assistants.

This position will work closely with institutional departments to maintain a ?One-Stop-Shop? for event coordination including but not limited to; Housing Services, Food Services, Bookstore, Centre for Continuing Education, Faculty of Kinesiology, Faculty of Media, Art and Performance, Registrar's Office, Facilities Management, External Relations, A/V Services, the President's Office and Parking Services.

This position coordinates high volumes of short-term stay and conferences along with internal University departments on a daily basis. This position ensures the highest level of professional service to the campus community and external guests. Although the main focus will be event and hospitality coordination (specifically in the short-term stay and conference services areas), occasional support to the Manager, Hospitality & consumer Services will be required in the areas of marketing, promotions, hospitality occupancy support and management. The incumbent will also work closely with Food Services and will attend and support catering events to ensure success. This position also supports Food Services retail outlets for optimal experience.

Position Requirements:

  • An undergraduate degree with three years' experience in hospitality, food services and/or event management.
  • Superior organizational and problem solving skills including a proven ability to work effectively with minimal supervision, prioritize work and accomplish tasks accurately and on-time.
  • Demonstrated experience applying institutional policies and procedures. Preference given to candidates who have knowledge of current University of Regina policies, facilities and software programs.
  • Excellent interpersonal skills with the ability to work under pressure both individually and as a member of a team. The candidate must be able to demonstrate flexibility and adaptability to frequently shifting priorities.
  • Experience supervising and supporting staff/students.
  • Demonstrated outstanding customer service and relationship management knowledge and experience, effectively working with internal partners, associations, external clients, student groups and short-term stay guests.
  • Extensive financial knowledge and experience planning, preparing and managing event budgets.
  • Effective listener and problem-solver who can juggle competing priorities and make sound decisions in a crisis situation.
  • Extensive sales and promotion experience to promote the University of Regina as a preferred option for events, conferences, and hotel guests.
  • Project and event management experience to be able to properly execute and manage multiple bookings/clients at a time.
  • Exceptional written and oral communication skills. Candidate must effectively communicate with team members, clients and stakeholders in a clear, professional, and timely manner.
  • Experience public speaking and presentation proficiency.
  • Experience in preparing event bids, invoices, proposals and web content would be considered an asset.
  • Graphic design skills are an asset.
  • Physical Demands

Must be able to travel locally - can include evenings and weekends.

Will be in a seated position for several hours.

Will be in a standing position for several hours.

Will lift, carry, push, pull or hold weighted items while setting up event space.

Pay Grade APT 4 Salary Range $60,172 - $81,196 Annually Status Term Work Hours

Typically 8:15 am - 4:30 pm Monday - Friday.

Evening and weekend work will be required to support events, this varies.

Must be able to work the month of February 2023 to support the Saskatchewan Winter Games. Event support for Student Affairs, for example, resident move-in's in Fall and Winter.
