We are looking for an Administrative Assistant to join our team in Canada. In this key role, the Administrative Assistant will provide support for sales and services teams, managers and employees; Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties; Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature.

As necessary, and in coordination with the Office Administrator, serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system. Provides excellent customer service to employees, visitors and customers. Maintains immaculate office space, and orders office supplies and coordinates vendor deliveries and pick-ups.

Job duties:

  • Regional Support Specialist for the Canadian Sales and Service Teams, prepare reports, assist the teams with maintaining the customer install base, timecard issues, book district meetings
  • Coordinates new hire on-boarding, starting from coordination with HR in the recruiting process
  • Third Party Vendor management and maintenance, contracts and invoicing submission and tracking through Cumulus, create and maintain curriculums and assign training, produce reports
  • Compiles special reports, letters, memos, organization announcements / charts, etc. using various software tools, including Word, Excel, and PowerPoint
  • Participates in staff committees, and coordinating office functions
  • Preparing and editing organization charts, and data entry.
  • Coordinating onsite and offsite meetings; booking venues, preparing agendas, ordering lunches, and room set-up
  • Other administrative duties including but not limited to; coordinating calendars, scheduling appointments, travel booking, entering expense claims, preparing agendas, presentations, meeting minutes and actions, reports, posters, researching, and filing

Qualifications :

  • Completion of a business training program and 3+ years of related experience, including supporting management team.
  • Experience in handling a wide range of administrative related tasks, organizing meetings across time zones, and arranging travel.
  • The ideal candidate for this position must be proactive with strong problem solving skills with the ability to exercise good judgment and handle details of a highly confidential and critical nature.
  • Ability to resolve time sensitive issues with a high degree of precision and exhibit strong organizational skills, with attention to detail
  • Must be able to understand business needs, apply judgment to triaging issues as they come in and work with the team to bring attention to high priority items.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
  • Excellent communication skills (both written and oral).
  • A ?can-do? attitude that focuses on getting the job done.
  • Proficient with Business Tools such as, Outlook, Microsoft Word, Excel, and PowerPoint. Experience with Salesforce, HCM (e.g., Workday) or equivalent ERP product and productivity software desired.
  • Occasional travel may be required.
