Position Summary:

To coordinate and execute all administrative activities that support Sales Management and Regional Sales Team.

The position requires a flexible attitude to handle a variety of roles and responsibilities. Ideal candidates will have go-getter attitudes, be creative, detail-oriented, deadline-driven and have a willingness to take ownership of projects from start to finish in a fast-paced environment.

Responsibilities : Essential Duties

Marketing Support and Conferences

  • Plan virtual and in-person conferences and work with Marketing to ensure we have all necessary marketing collateral
  • Take the lead on coordination of internal sales meetings.
  • Maintain sample room inventory and order additional samples through Salesforce when necessary.
  • Provide support to Business Analyst for large RFP responses.
  • Manage French translation projects with external company and proofread brochures.
  • Translate company communication letters in French.
  • Collaborate with Marketing to execute digital marketing strategy including website design, SEO strategy, social media strategy, and website analytics.
  • Write and edit marketing content including sales presentations in PowerPoint, Marketing emails, blog posts, and media content.

Sales Coordination & Supply Chain

  • Act as administrator for
  • Schedules and monitors activities for Sales Management.
  • Follow-up with purchase orders and interact with US team on contract and pricing management.
  • Coordinate with distributor and sales team to ensure adequate inventory levels at various provincial warehouses to support new and existing business.
  • Monitor any backorders of high-volume products.
  • Demand planning and forecasting of both US and international products; place new orders when necessary.
  • Maintain the communication with the distributors to improve the sales and schedule training when necessary.

Office Management

  • Assist the Canadian Leadership Team on daily basis.
  • File expense reports for President.
  • Responsible for office management and answer requests from vendors & customers.
  • Answers all incoming calls, maintains all office files and distributes mail.
  • Draft, type, proofread and edit correspondence, reports, memos, logs, and other forms of internal and external records and communications in both English and French.
  • Book weekly, monthly meetings in the office and quarterly meetings with sales & marketing.
  • Makes travel and events arrangements.
  • Lead set up and on-boarding for new employees.
  • Other duties as assigned.

Expertise: Knowledge & Skills

  • Exceptional computer system skills, including full MS Office suite; advanced Excel skills, Word, and PowerPoint.
  • Knowledge of office procedures and practices.
  • Excellent oral and written communications skills are required in English and French.
  • Outstanding organization skills and attention to detail.
  • Qualifications:

  • Associate degree or equivalent experience
  • Bilingual English/French


  • Bachelors degree
  • PMP certified a plus
  • Experience of a plus
