A typical day...

  • Watching Slack channels for @ mentions or inquiries into the recruitment channels
  • Attending a company sync-up where you'll learn about the latest news and can ask questions as well as offer suggestions
  • Checking our ATS for new applicants, making sure interviewers have confirmed attending interviews, graduating and scheduling candidates through the interview process
  • Reaching out to candidates you've sourced using an experimental approach you suggested and are trying out to see if your hypothesis is valid
  • Attending a company sponsored virtual chocolate tasting session with other team members
  • Helping out with team member onboarding
  • Documenting, proposing and/or executing a part of a larger idea you had to improve an area of Talent Acquisition
  • Performing phone screens of candidates, capturing their potential fit in our ATS
  • Touching base with a candidate you initially screened, to see what's changed for them after interviewing with our team
  • Researching and updating company processes on Confluence (Our Company Wiki)
  • Applying your organizational skills to reprioritize your day due to an ad-hoc project that helps jump on a hot candidate
  • Gathering together data to present the latest candidate experience results, and quarterbacking the discussion towards the goal of finding ways to improve
  • Figuring out a better way to accomplish a task through your own analysis and Google research, and collaborating with other team members to integrate that process into Bit Quill daily life
  • Playing games with team members during Friday's social hour

CORE RESPONSIBILITIES

  • Sourcing:
  • Develop and maintain pools of talent that overlap with Bit Quill's resource requirements
  • Identify potential candidates who may be a good fit for open positions within the company
  • Craft sourcing and email templates; assess and adjust candidate messaging to increase email open & response rates
  • Occasionally participate in job fairs, networking events, and other recruiting or tech community oriented activities, both in-person and virtually, to attract talent to the organization
  • Manage job postings across all mediums and manage applications through the applicant tracking system
Manage Interview Process:
  • Screen applicants for potential fit
  • Schedule interviews & monitor progress toward hiring decisions
  • Provide a positive candidate experience by checking-in with candidates
  • Summarize candidates' fit, motivations, risks and potential blockers
  • Negotiate a verbal commitment from candidates
  • Maintain Applicant Tracking System as single source of truth
Recruitment Related Administration:
  • Craft and maintain candidate-centric job descriptions
  • Inform our employee referral process for accurate payouts
  • Summarize candidate experience survey responses
  • Ensure all Talent-Acquisition related company documentation is harmonized and up to date

Organizational Fit Perspectives

  • Targeting Talent
  • Develop branding ideas and assets to attract candidates based on candidate feedback
  • Inform our candidate personas, ways to reach them and what messaging resonates with them
  • Create and implement, multi-channel opportunities for sourcing passive and active candidates to attract talent that can help us move towards our corporate vision using their skills and are aligned with our way of work
Minimize Friction
  • Carry out tasks, especially those related to candidate and interviewer scheduling and communication, with a low level of error
  • Monitor candidate experience, and suggest ways to improve it, taking personal action where needed
  • Help to provide interviewers with any information or guidance they need
  • Identify opportunities to efficiently move candidates through the interview process
  • Foster a collaborative culture within your team by over-communicating rather than under-communicating
Aligning Operations with Corporate Vision
  • Develop a good understanding of the skills and way of work which Bit Quill seeks in it's candidates
  • Synchronizing and rallying with our team around our core principles
  • Use clear and timely communication to ensure the team and other stakeholders are well informed at all times
  • Follow and drive improvements based on company best practices, knowledge base, policies and processes to ensure the company is best positioned to satisfy client requirements

REQUIREMENTS

  • 2+ years coordinating recruitment related activities
  • Knowledge of and ability to discuss cloud technologies
  • Empathetic and respectful, while also a confident and articulate verbal communicator
  • Concise and organized written communicator
  • Strong customer service skills
  • Problem solving skills - including gathering data, analyzing the results, hypothesizing a new solution, implementing the solution, and then repeating the process
  • Self-management skills - being aware of your workload and what you can realistically accomplish, while also having to reshuffle in any ad hoc work
