The Role.

As V!VA's Talent Acquisition Specialist, you will play a key role in developing staffing strategies, improving the end-to-end talent acquisition process and ensuring a positive experience for all potential talent at V!VA Retirement Communities. In this role, the responsibilities include understanding the specific recruitment needs for our corporate office and communities, sourcing candidates through various platforms and our ATS, planning interview and selection procedures and hosting or participating in career events. The Talent Acquisition Specialist will accomplish these goals by executing Strategic Recruitment Program Development, V!VA Branding activities, managing Recruitment and Retention programs, and overseeing the full cycle employment life span.

Ultimately, you will create strong talent pipelines for our company's current and future hiring needs. You will lead every single hiring search and process as a top priority to find and engage with candidates who aligns with our V!VA Values and deeply care for our community members.


Strategic Recruitment Program Development:

  • Develop the end-to-end Talent Acquisition Strategy in conjunction with the VP of People and Engagement and the HR Generalist
  • Recruitment Costs & Budgeting: you understand how recruitment activities and costs impacts the company overall. You advocate for the resources you need to deliver exceptional results while maintaining a cash-conscious mindset
  • Develop a Talent Management Plan
  • Continually recommend and implement improvement to the recruitment, on-boarding and orientation process
  • Reporting: Lead reporting of all recruitment activities, provide accurate reporting to all stakeholders
  • Assess volunteer, co-op, and student internship programs and their management
  • Work with the HR team to create, implement and maintain the templates, documents and tools used across the entire talent acquisition life cycle (interview guides, offer letters, background checks etc.)
  • Act as business owner for the talent acquisition system to ensure systems are consistent with business requirements, and operated/maintained within agreed parameters
  • Talent Pipeline: you understand the criticality of a healthy talent pipeline and take action to ensure that we're always one sourcing step ahead of our hiring managers

Employer Branding Activities:

  • Provide the absolute best support and overall experience to candidates throughout their recruitment process, ensuring a valuable and constructive experience and fostering long-term relationships for future job opportunities
  • Organize and attend job fairs and recruitment events
  • Explore and solidify potential recruitment channels and partnerships - including schools, recruitment portals, associations, etc. - to increase our overall candidate pipeline and V!VA's talent brand recognition; Act as our brand ambassador and key point of contact for post-secondary institutions, finding and leading opportunities for our co-op & practical placement programs.
  • Work closely with the marketing/communications teams to ensure a seamless online experience for all candidates; support the enhancement and capability of our career site
  • Lead in the development of inclusive recruitment and hiring practices and training for hiring leads (e.g. Inclusive Interview Skills)
  • Social Media & Job Board Oversight: Own the growth and regular update of all employment branding channels, including Glassdoor, Indeed, social media, etc.

Recruitment Activities:

  • Participate in staff planning discussions to understand the organization's current & future hiring needs - work to build annual forecasts for hiring needs by department; work with speed and agility to ensure our recruitment strategy is aligned with the business strategy
  • Build strong relationships with hiring managers and their internal teams, helping them to better understand and define hiring needs, sharing recruitment best-practices, supporting new interviewers, and successfully managing the recruitment needs of the business.
  • Fully Cycle Recruitment Activities: Management of end-to-end recruitment process including:
  • Intake Meetings: determine the needs of the hiring manager and the skills, experience, competencies & attributes they require for candidates;
  • Job Profiles Creation: preparation of job descriptions into enticing, informative and targeted job postings; Determine selection criteria
  • Sourcing: Source potential candidates through existing networks, job boards and online channels (e.g. social platforms and professional networks); Employ a variety of passive, proactive, and creative sourcing methods to address the needs the recruiting needs of each role
  • Screening: Assess candidate information, including resumes and contact details, using our Applicant Tracking System
  • Interviewing: Plan interview and selection procedures, including screening calls, assessments;
  • Coordinate, participate and sometimes lead telephone and in-person interviews
  • Recommend and pilot innovative interview techniques and tools (e.g. video screening, tests, group interviews, presentations)
  • Oversee the full cycle employment life span including conducting Exit Interviews


  • Bachelor's degree in Human Resources Management, or Human Resources Certificate from a College program required, or a combination of education and work experience.
  • Minimum 3-5 years experience in a Talent Acquisition role, preferably in medium sized high growth organization, with a proven ability to deliver high volume recruitment activities, Retirement or Healthcare preference is considered an asset.
  • Must have excellent written & verbal communication skills
  • Must have excellent time management and organizational skills in completing competing priorities
  • Must be a team-player and possess excellent Interpersonal skills.
  • Possess strong quantitative analytical skills, can extract and interpret information to justify decisions; can create talent acquisition metrics and analytics
  • Possess strong computer and system skills, proficiency in Microsoft Office Suite and relevant ATS, social media and job board sites.
