ALES is made up of 500+ faculty and staff, 1700+ undergraduates, and 600+ graduate students.

Position Summary

This position provides administrative support to the Poultry Innovation Partnership (PIP) and technology transfer team. Key duties include managing PIP meeting documents and recording minutes for all PIP Committee and Advisory Board Meetings. This position is responsible for the establishment and maintenance of a shared filing system, and archiving and disseminating records and supporting documents to PIP administration and advisory board members. This position manages the client relationship database and tracking of some key performance indicators. This position is the lead editor of the PIP monthly newsletter. Additionally, provides support for technology transfer projects and events.

Duties

  • Provides administrative support to the Poultry Innovation Partnership staff assisting in their daily activities;
  • Evaluates, redirects, or responds to requests, inquiries, and complaints;
  • Coordinates all aspects of meetings; including invitations, minutes, creating agendas, tracking action items.
  • Works with the team to help draft documents; routine communications; presentations; compiles presentation materials for internal and external use;
  • Organizes, compiles and enters information in various computer programs;
  • Categorizes and provides quality control budget entries
  • Contributing writer and editor of monthly newsletter

Minimum Qualifications

  • Minimum high school diploma
  • Minimum of two years related office experience preferred
  • Ability to work in a fast paced, high volume environment.
  • Ability to work independently with minimal supervision
  • Strong organization, accuracy, and attention to detail
  • Strong business acumen to confidently work with multiple stakeholders
  • Excellent time management and organizational skills and attention to detail

Preferred Qualifications

  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities preferred
  • Diploma (Preferably a diploma program in business administration, accounting or human resources)
  • 2-3 years of progressively responsible operational support experience, preferably in a post-secondary setting
  • Demonstrated proficiency with MS Office particularly Excel, and Google applications
  • Excellent computer skills including proficiency in use of database, spreadsheet and word processing software.
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels
  • Demonstrated ability to work independently and collaboratively
  • Demonstrated ability to manage time and workload effectively and meet deadlines
  • Demonstrated ability to apply and adhere to strict confidentiality guidelines, FOIPP, records management protocols, and all relevant university policies
