Position Summary

As part of the corporate Human Resources team, the Manager, HR Operations works under the direction of the Vice President, Human Resources to support the ongoing review, development, and implementation of policies, procedures, protocols, and processes to ensure compliance with internal and external audit requirements, collective agreements, regulations and laws, and employee engagement approach.

This position is also responsible for providing direct support to managers and staff and lead a team of HR Partners with client-service focus and effective and standardized approach, processes, and systems.

This position provides HR Advisory support to the Corporate office and may be assigned additional communities/operations.

Plans, manages, and co-ordinates assigned human resources initiatives. Represents the Human Resources department in a professional, confidential, and highly ethical manner. This role works standard weekday office hours with regular scheduled travel.

Within the scope of this position, the Manager, HR Operations takes on a key role to continually provide an environment promoting a culture of client safety and freedom from harm and injury.

Core Outcomes

Development: Focus on compiling, maintaining and reviewing policies, procedures and manuals

  • Work with other HR Managers in the ongoing identification, development, documentation and implementation of all Human Resources documents, and forms relating to - but not limited to:
  • Assist in union negotiation preparation as required
  • Collaboratively, work to implement new/changed collective agreements as required
  • Compensation changes and analysis
  • Benefit programs
  • Employee surveys
  • Communications and memos
  • Employee engagement initiatives and programs as directed
  • Various analytics and statistics
  • Compensation and Benefits: Develops, leads and maintains compensation and benefits programs
  • Lead applicable HR portions of projects and initiatives as directed
  • Liaison with provider(s) and internal stakeholders (eg. Payroll) and other teams as appropriate during program and/or software changes as required such as:
  • Group Benefit Plans
  • RRSP / Pension plans
  • Time and Attendance Programs
  • Payroll/HCMS systems and processes

Systems and Process: efficiency and effectiveness related to scope of this role

  • Ensure technology and methods are in place and utilized for:
  • Tracking and monitoring various statistics and trends
  • Capturing and sharing of Best practices
  • Audit and compliance per financial auditors, accreditation, accommodation, etc.
  • Total Rewards (Compensation, Benefits, RRSP, etc) analysis, surveys, adjustments, and communication to employees and payroll
  • Responsible for ensuring timely and accurate information is housed in appropriate folders / shared drives

Leadership - Mentor and Support HR Advisors and Recruitment Advisor to ensure AgeCare processes and procedures are delivered in a timely manner.

  • Provide Direct Expertise and HR Advisory Support to Assigned AgeCare Communities or other affiliated operations.
  • Monitor, mentor and support HR Site Support Advisors in Site Support practices, competencies, and requirements.
  • Monitor and guide corporate Administration processes to ensure timely, accurate and effective information is documented, processed, and filed.
  • Identifying training opportunities for Site Support HR Advisors knowledge and facilitation to their site managers and staff
  • Advise and/or train HR Advisors or other internal stakeholders of changes in employment related matters.

Projects and Initiatives: Collaborate with other Senior leadership member(s) on policy, program, and process development

  • Providing feedback on current policies, procedures and processes
  • Offering suggestions for new programs / policies
  • Striving for effective and efficient processes and procedures
  • Coordinating timely and accurate compensation and benefit changes communication and implementation
  • In collaboration with other HR Managers, ongoing monitoring of new / changing employment laws and practices. Responsible for various routine and ad hoc HR related assigned projects and tasks as required to meet the site and corporate human operational expectations and needs.
  • Ensure policies, procedures, and programs are standardized, implemented and administered consistently, fairly and are aligned with organizational goals and collective agreements and/or employment standards.

Qualifications

Education and Experience

  • Certificate or diploma in Human Resources or equivalent in combined education and experience
  • Leadership and/or Management training
  • CHRP designation an asset
  • Must have excellent English communication skills, both orally and in writing
  • 5-10 years progressive experience as Human Resources Generalist
  • Demonstrated success in Leadership / Supervisory role
  • Prior HR experience within Seniors environment a definite asset
  • Demonstrated success in positively influencing others
  • Exposure to union environments a definite asset
  • Thorough knowledge of employment and related legislation (e.g. Human Rights Code, Employment Standards Act) and sound human resources practices.
  • Solid understanding and working knowledge of WCB claim handling and impact assessments
  • Experience with general OH&S requirements, compliances and obligations an asset.
