Administrative Assistant

Overview of Position

The Administrative Assistant performs various administrative and customer service duties for the Assurant office located in Hamilton.

What will be my duties and responsibilities in this job?

Click each contract received paid in dataman and on-line system - daily.

Code each application (Warranty, GAP) to ensure vehicle qualifies, all information has been provided and the correct amount was received. Follow up with the dealer if contract is not correct/complete. Click invoices/credits for shortages/overages paid in dataman.

Issue invoices and credits if wrong amount was received.

Process each contract in dataman.

Void contracts in on-line system and invoices in dataman. Check to see if a claim has been called in before voiding a contract.

Issue invoices for on-line contracts not paid - monthly.

Email statements and past due invoices/credits to the dealerships - monthly.

Maintain several spreadsheets.

Customer service - assist dealerships, BDM's, office staff and customers via email and/or telephone with inquiries (pricing, qualifying, on-line support, etc.).

First contact for cancellation requests.

Prepare Acceptance Letters and mail to customers - semi-monthly.

Call customer if Acceptance Letter is returned to us (address unknown/moved, etc.) and send new Acceptance Letter once we have the correct address.

Follow up with dealer and BDM when signed contract has not been received.

Print contracts so letters can be sent to the customer to obtain a signed copy if we didn't receive one when payment was received.

Electronic and physical document filing duties

What are the requirements needed for this position?

Proficient in Microsoft Office applications

Prior customer service experience

Experience with data entry and processing

Ability to work on-site in Assurant's Hamilton Office
