THE OPPORTUNITY

To be located in Montreal or Toronto, Picton Mahoney Asset Management is presently seeking an organized, ambitious and energetic Bilingual (French & English) Sales Support Associate to join our team! The Sales Support Associate will work in valued partnership with Picton Mahoney’s Retail Sales team and will take strong pride in their administrative responsibilities in delivering effective, timely and polished sales support required for the broader sales team.

RESPONSIBILITIES OF THE ROLE

  • Deliver effective sales support to sales team with emphasis on external sales.
  • Timely & accurate delivery and management of all team printing needs for products pages & slide decks, sales kits, marketing materials; as well as requirements needed for conference participation.
  • Provide top quality support and ensure sales teams are well informed and actively moving clients through the sales funnel.
  • Ensure that sales teams stay focused on selling by minimizing distractions, servicing simple client requests, and running Morningstar reports.
  • Work closely with Marketing and Compliance departments to ensure that our sales teams are conducting meetings and events in a way that ensures the integrity of our company and brand.
  • Coordinating regional & corporate events including booking venues & catering, preparing necessary materials.
  • Arranging conference calls (internally and externally), assisting with preparation, action items and tracking of attendees.
  • Processing sales partnership/practices requirements for client requests including co-op & charitable sponsorship pre-approvals, conference pre-approvals and arranging payment & cost allocations.
  • Support for CRM needs regionally and nationally (project work) including CRM administration, managing regional data integrity, generate reporting. 
  • Assist as needed with information capture/meeting notes in CRM for external sales team members.
  • Assist with timely monthly, quarterly, annual and ad hoc sales reporting as needed for sales team.
  • Purchasing products and gifts for sales recognition and tracking allocations to advisors.
  • Arranging travel for regional team members and Portfolio managers as assigned and maintaining broader sales team event calendar.
  • Timely processing of expenses for Senior sales team members and Portfolio managers as assigned, CRM data capture of cost allocations to advisors and submission of necessary cheque requests for reimbursements to clients for Sales Practices purposes.
  • Assist digital services team as needed with Service & Subscription email accounts and re-directing inquiries accordingly.
  • Providing occasional administrative coverage in absence of executive administrators as well as coverage for general service line & receiving deliveries.

THE QUALIFICATIONS AND EXPERIENCE REQUIRED

  • Must be fully bilingual in French and English and communicate at a business level in both languages.
  • Successful achievement of a diploma or degree in business administration or relevant field of study.
  • Minimum 1-2 years of experience in an administrative support role.
  • Industry experience in financial services, CSC completion is preferred.
  • Knowledge of National Instrument 81-105 for Sales Practices support is an asset.
  • Experience with Salesforce or a similar CRM system is preferred.
  • Advanced knowledge of MS Word, Outlook, PowerPoint and Excel.
  • Excellent communication skills, both written and verbal, to effectively support the greater Sales team.
  • An ability to produce high-quality work and solutions in a rapidly changing environment with tight deadlines, with the skill to prioritize to ensure timely and accurate delivery.
