West Point Grey Academy is currently seeking a Special Events Coordinator. This is a full-time position.

This posting will close on May 6, 2022.

The Special Events Coordinator provides administrative and operational support to the Junior and Senior leadership team in the organization and delivery of special school events (i.e., major assemblies, Arts Week, performing arts showcases, etc.) . The Special Events Coordinator will also be responsible for providing A/V support as needed. A high degree of professionalism, with enthusiasm and decorum in presenting the school to all constituents is required. The ideal candidate will be someone who demonstrates an ability to understand and work within the rhythms of a school, including fluctuating pace, time constraints, and the need to problem-solve on the fly.

Successful candidates will be expected to agree to have a Criminal Record Check initiated by West Point Grey Academy.

  • In coordination with the Vice Principals of Student Life (Junior and Senior School), manage the school's events calendar and identify special events requiring AV support
  • Identify calendar conflicts and help suggest workarounds as required
  • Assist event organizers to determine the technical requirements for events
  • Contract with external specialists to augment the school's technical and production capacity as needed
  • Provide guidance and assistance to the Senior School Tech Crew and supervise student crews helping run each scheduled show, if required
  • Ensure that all events and rehearsals run smoothly from a technical and production perspective
  • When required, provide audio and video recordings of events (liaise with Fine Arts Teachers and IT Manager as needed)
  • Liaise with the Facilities Manager to schedule event set up and take down requirements
  • Assist with event set up and take down as required


  • Good interpersonal, written, and oral communication skills with adults and young people
  • Strong working knowledge of A/V systems, including live audio/video operation and stage lighting would be an asset
  • Excellent organizational and time management skills
  • Demonstrated ability to plan and execute multiple projects
  • Proven ability to solve problems creatively
  • Good level of general IT competency
  • Ability to show initiative, learn quickly, and be committed to continuous improvement of processes and self
  • A resilient personality to deal with multiple and occasionally conflicting priorities
  • Experience working with school-aged children would be an asset


  • Heavy lifting required (up to 45 lbs)
  • Outside work in sometimes inclement conditions will be required from time to time
  • Need for occasional evenings, weekends, and early mornings (with time off in lieu in consultation with direct supervisor)
