Job Summary

An Administrative Assistant provides support to the Executive Assistant to the Group President of SISCO, President and the Country Manager of Canadian Operations.

Job Responsibilities

  • Providing day-to-day administrative support to the Executive Assistant
  • Coordinating and carrying out administrative functions in a professional and confidential manner.
  • Ensuring timely response to inquiries.
  • Managing complex calendar and flight schedules and ensuring travel arrangements are completed without error. Being available to answer questions or provide assistance when travel plans need changing or when there is an emergency.
  • Organizing and maintaining files.
  • Taking notes at various meetings and maintaining confidentiality in all situations.
  • Managing, creating and submitting reports as needed.
  • Assist with meetings and various events arrangements
  • Reconciliation and review of several expense and credit card accounts
  • Act as company liaison with various sporting suites and arena personnel for food and beverage orders, ticket/event details and general suite inquiries
  • Liaise with Business Development team (Residential and Commercial):
  • Ensure tickets are allocated in a timely basis
  • Ensure Food and Beverage orders are placed prior to appropriate deadline and that orders fall in line with annual budgets
  • Attend to the delivery of event tickets to clients and reps
  • Order additional event tickets as required
  • Prepare monthly reports on attendance (all suite events, Platinum and Courtside tickets and Ottawa Senators events) submitted monthly.
  • Liaise with promotional companies once orders have been placed to ensure proper delivery and timeframes are met
  • Maintain inventory, perform quarterly inventory count and organize the promotional items stock room for all locations
  • Assemble and ship packages of swag to individual reps/bulk ship to other offices
  • Ad hoc projects as assigned

Qualifications

  • A Graduate from a post-secondary institution in business administration or equivalent
  • Have 3-4 years' experience providing administrative support.
  • Knowledge of accounting policies and procedures an asset
  • Ability to travel occasionally as required
  • Accessible by telephone at all times
  • Ability to work beyond normal business hours and flexible hours including weekends and evenings when necessary.
  • A self-starter with the ability to work with minimal supervision and manage the workload efficiently with challenging demands for resources and time
  • Excellent organizational and prioritizing skills
  • Excellent verbal and written communication skills
  • Exceptional attention to detail and accuracy
  • High proficiency with Microsoft Office Suite
  • Adapts readily to a fast pace and dynamic environment
  • Effectively interacts within a team setting
  • Highly resourceful in nature
  • Strong interpersonal skills, professional skills and the ability to exercise good judgment always
  • Typically requires 5+ years of related work experience
