About the Role

The Global Corporate Rating Group is seeking an energetic, resourceful and diligent individual with expertise in office management to provide timely administrative support to its rapidly growing team of managers and rating analysts. Working closely with the corporate managers and analysts, the selected candidate will support analytical teams with the scheduling of meetings, processing of travel requests and staff expenses, maintenance of rating files, tracking of interactions with investors and bankers, and with various other day-to-day tasks. This position is located at our Toronto office and will report to the Managing Directors of the teams allocated to the selected candidate.

Job Responsibilities

  • Provide day-to-day general administrative support to managers and analysts.
  • Set up Group Rating Committee meetings, prepare meeting minutes and ensure timely distribution of RC materials.
  • Assist analysts with uploading and maintaining rating files in accordance with record retention policies.
  • Handle travel requests, make arrangements for travel and accommodations, and assist in submitting travel claims adhering to the established expense procedures.
  • Reconcile monthly visa/cash statements and prepare expense reports for covered teams.
  • Track investor activities by updating contacts, log calls/meetings/interviews in Salesforce.
  • Liaise with other groups to share knowledge and best practices (including Finance, IT, Business Development, and Facilities etc.), ensure consistency in process and procedures and to coordinate broad message to supported staff members.
  • Provide coverage in the absence of the RC coordinator and other administrative assistants.
  • Assist the Group Managing Director on other ad hoc projects.


  • Minimum 2 years of relevant experience providing administrative support to a large team in a professional environment.
  • Sound knowledge and proficiency of computer skills, including Outlook, Word, Excel, and Internet applications.
  • Extremely detail oriented and very well organized; able to manage time and multi-task to accomplish a wide variety of tasks, and conflicting priorities; able to interpret policies and apply standards to complete assignments in a fast-changing environment.
  • Excellent judgement and strong problem solving skills, including a proactive approach to working with staff at all levels while demonstrating flexibility.
  • Strong communication skills.
  • Open to learning new online operating systems (ie. Rating system platform and Amex online system), and identify areas of improvements.
