Job Summary

Reporting Directly to the Manager of Development, Faculty of Science Development and Alumni Engagement Office, the Manager, Proposal Writing & Communications is responsible for initiating, developing, managing and delivering a full range of communications services in support of the Faculty of Science's fundraising objectives, including general correspondence, acquisition/awareness campaigns, newsletter articles, campaign videos, cases for support and fundraising proposals.

The incumbent will develop and implement communications materials and vehicles providing donors with meaningful opportunities for engagement and investment with the Faculty of Science and UBC.

Organizational Status

Reports to: Manager of Development, Faculty of Science

Works with: Development and Alumni Engagement staff, Senior UBC Administration, Faculty members, external stakeholders

Supervises: Writers, coordinators, support staff

Work Performed

Responsible for initiating, developing, managing and delivering a full range of large scale and high visibility communications programs;

Develops and delivers complex proposals and case statements for the Faculty of Science's high value donors (ranging from $50k-$10M);

Oversees the research, writing and design of communication materials, including letters, case statements, donor proposals, new releases, speeches, announcements and reports, and other fundraising materials in support of the Faculty of Science's high value and priority fundraising projects;

Manages process with content providers to establish and meet deadlines. Controls editorial flow, production, publication and distribution functions;

Leads the development of digital projects including presentations, e-campaigns and videography;

Works with external production agencies for the development of video and photography content;

Manages communications and fundraising collateral, including design, layout and print/email coordination and photography sourcing;

Is a resource for and/or collaborates with Faculty Communications and departments related to the profile and messaging surrounding donors and fundraising projects;

Ensures communications campaigns are executed to the agreed strategy;

Manages fundraising writers; plans and approver professional development, conducts annual staff evaluations to ensure annual benchmarks and performance goals are achieved;

Ensures editorial and visual consistency; works closely with colleagues, volunteers, fundraisers, faculty members and senior administrators on the drafter and approval of internal and external fundraising communications;

Mains a body of up-to-date knowledge about UBC and its fundraising priorities;

Problem-solves any concerns regarding communications projects and ad-hoc issues as they arise;

Ensures consistency and accuracy of information in all donor engagement deliverables;

Performs other duties, as required.

Consequence of Error/Judgement

Initiatives executed by the Manager on behalf of the Development and Alumni Engagement portfolio are very public, and are critical to donor and alumni engagement efforts. The position has dealing with staff, faculty, executive as well as the external community. Errors in judgement could have far-reaching and long-term serious negative reputational, financial and public relations impacts for the university and its partners. Information provided by this position is used in making managerial and policy decisions at a strategic and senior level.

Poor leadership, or the lack of diplomacy, foresight or sound judgement could have a serious negative impact on the reputation of the University, its senior administrators, the portfolio, faculty and staff. It could also alienate existing and potential donors as well as jeopardize relationships with alumni, resulting in a potential loss of significant donations or critical relationships.

Supervision Received

-This position reports directly to the Manager of Development, Faculty of Science.

  • Functions with a high degree of autonomy, discretion and independence.
  • Works under broad guidelines with minimal supervision.
  • Work is reviewed for achievement of objectives, soundness of judgment and quality of work.

Supervision Given

-Responsible for the supervision of the writer(s) within the Development and Alumni Engagement unit.

  • May provide project oversight for coordinator(s) and administrative positions on a per-project basis.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum six years of related experience, or communication services, or the equivalent combination of education and experience.

Ability to communicate effectively verbally and in writing - providing solutions that directly link and reflect the University's fundraising missions and goals; Ability to exercise tact and discretion; Ability to analyze problems, identify key information and issues, and effectively resolve; Ability to be thorough, accurate, and have a high level of attention to detail - strong writing, editing and proofreading; Ability to exercise sound judgement; Ability to synthesize concepts and ideas into clear, concise and compelling written documents that generate enthusiasm and interest; Ability to effectively manage multiple tasks and priorities; Ability to effectively use job-specific software at an expert level (e.g., Outlook, MS Word, PowerPoint, PhotoShop, InDesign, Illustrator). Ability to effectively recruit, train, supervise and motivate employees; Ability to work effectively with minimal supervision.
